1. Who can hire equipment
By booking with us, you agree that:
- You are an adult and legally able to enter a hire agreement.
- You accept responsibility for all equipment hired.
- You may allow children to use the equipment only under the full supervision of a responsible adult.
If we have reason to believe you are not an adult, we may ask to confirm your age.
2. What’s included in your hire
The hire includes the specific items listed on your booking confirmation. We aim to provide all items in clean, safe working condition.
You are responsible for checking the equipment at collection and raising any concerns before leaving. Once the equipment has been collected, it is deemed to be in satisfactory condition unless you have told us otherwise.
A member of staff can provide a basic demonstration of how to set up or operate items (for example, tents, stoves or paddleboards) if requested at the time of collection. This is optional. If you choose not to request a demonstration, you accept responsibility for reading any instructions provided and for using the equipment safely and correctly.
We are not responsible for any accidents, damage or injury resulting from incorrect use, failure to follow instructions, or failure to request a demonstration when one was available.
3. No deposits
We do not take a security deposit.
However, by hiring equipment you agree to:
- return all items, clean and complete
- pay the cost of repair or replacement if items are lost or damaged beyond normal wear and tear

4. Payment
Payment is taken:
- online through our booking system (via Stripe), or
- in person on the day (cash or card, where available)
Your booking is only confirmed once payment is completed.
5. Cancellations & refunds
- Full refund for cancellations made 48 hours or more before the hire starts.
- No refund for cancellations made within 48 hours of the hire start time.
- No refunds for early returns or unused days.
6. Collection & return
Equipment is collected from and returned to the agreed location and time shown in your booking confirmation.
Late returns
If you cannot return equipment on time, you must contact us as soon as possible.
Late returns are charged at:
- one additional hire day for each day or part-day late.
This covers extended use and prevents loss of availability for other customers.
7. Damage, loss, theft
As we do not take a deposit, the hirer agrees to be responsible for the full value of the equipment.
You agree to:
- care for equipment appropriately
- return all items clean and dry
- report any damage immediately
- pay for repair or replacement if damage or loss occurs
How payment works
If damage or loss occurs, you may:
- pay in person at return, or
- receive an invoice to be paid within 14 days
Normal wear and tear is expected. Damage caused by misuse is not.
8. Safety & usage rules
You are responsible for using all equipment safely and appropriately.
Camping equipment
- Stoves are for outdoor use only.
- Never use fuel-burning equipment inside tents or enclosed spaces.
Paddleboards (SUPs)
- You are responsible for your own safety.
- We strongly recommend using a buoyancy aid and leash.
- Ensure equipment is suitable for your ability and weather conditions.
Bikes
- We strongly recommend wearing a helmet.
- You must follow local cycling laws.
General
Scotlander Ltd is not responsible for injuries resulting from misuse, unsafe behaviour, or ignoring safety advice.
9. Long-term hires
We do not set a maximum hire length.
For multi-week or long-term hires, you remain responsible for the equipment for the full duration.
We may request periodic check-ins or photographs for long rentals.
10. Your responsibilities
By hiring from us, you agree to:
- return items on time, in the same condition
- use equipment safely and as intended
- keep items secure at all times
- not sub-hire or loan equipment to others
- follow all safety guidance provided
11. Our responsibilities
We will:
- provide equipment in good, usable condition
- answer safety questions where possible
- offer clear instructions for use
- provide fair pricing and transparent policies
We reserve the right to refuse hire to anyone we believe may misuse equipment or pose a risk.
12. Liability
Scotlander Ltd is not liable for:
- injury, loss, or damage resulting from improper or unsafe use
- failure to follow safety instructions
- weather conditions, environmental hazards, or third-party actions
Your personal insurance is recommended for activities such as cycling or paddleboarding.
13. Data protection
We collect the minimum personal information needed to process your booking:
- name
- contact details
- items hired
Online bookings are processed through third-party booking and payment providers (e.g., Stripe, FareHarbor).
We do not sell or share your data with any other third parties.
Paper hire forms are retained only for as long as needed for record-keeping and insurance, and then securely destroyed.

By booking or signing the hire form, you confirm you have read and agree to these Terms & Conditions.
